Answer
a) The key elements of business communication are:
- Source:
This is the origin of the message, also known as the sender. The source encodes the message and decides the most appropriate channel to communicate it. - Message:
This refers to the content of the communication, including symbols, words, or actions, that the source sends to the receiver. - Channel:
The medium through which the message is transmitted. Channels can include verbal communication, email, reports, or even television and radio. - Destination:
This is the receiver or the intended target of the communication. The destination decodes the message and interprets its meaning. - Effect:
The impact the message has on the receiver. It can be intended or unintended and is a key indicator of the effectiveness of the communication. - Feedback:
The receiver’s response to the message. Feedback ensures the communication process is complete, confirming whether the message was understood as intended.
(b) The listening skills that can aid effective oral and face-to-face communication include:
- Open Mind:
Retaining an open mind helps avoid bias and judgment during communication. - Avoiding Distractions:
Being aware of distractions and focusing attention, particularly at the beginning and end of discussions, enhances listening effectiveness. - Interest Development:
Making an active effort to develop interest in the subject matter improves comprehension and engagement. - Distinguishing Key Points:
Being able to identify the main ideas and differentiate them from supporting evidence helps grasp the essential message. - Waiting Before Interrupting:
Allowing the speaker to finish before responding avoids misunderstandings and promotes respectful communication.
